Version 2.2 Release Notes

Tagged:

1. Re-Route Wizard

The Re-Route tool has been rebuilt from scratch to implement the ability to
change the product, the destination office/branch/dept, and the person that
should get the referral when it is re-routed. If you do not need to change
the product to re-route simply select the same product from the dropdown.

The gatekeeper flags are honored by the re-route wizard.

2. Referred Party Merge Wizard

Available under:
Admin Tools -> Data Migration Tools Section
Click: "Merge Referred Parties Wizard"

This tool will pull up a list of all new referrals created in the last 30
days without a CIF. A CIF is a customer information file identifier.

For RT customers that have integration all Customer records imported from
the core system will have a CIF. So the merge list will show all records
added to the system in the last 30 days that were NOT current customers.
Click on the record to display a list of potential duplicates by Last Name,
Business Name exact match or loose match. If you decide that the person is
a duplicate of one of the listed merge candidates then select the candidate
you will merge the person into.

This process will prune your Referral trak Referred Party/Customer database
of duplicate records.

For RT customers without integration none of the Referred Party/Customer
records will have a CIF. The tool will still work fine, and it can be
valuable in detecting and cleaning duplicates.

NOTE: If you have a lot of duplicates in your list this means that you have
a training issue. Your users are not properly creating a new referral for
the existing customer record. Instead they are creating a brand new customer
record each time which will cause problems later on when you want to run
reports on repeat business from the same household/business.

3. When Referrals come off Defer the Qualified flag is now checked.

If the deferred referral is currently qualified then when it comes off of
Defer it is reset to a status of In-Progress. If it was NOT qualified it
resets to New.

Prior to Release 2.2 all referrals reset to New when they came off defer
regardless of the Qualified flag.

Note: The referrals remain qualified - this does not get altered.

4. Enhanced Audit Trail Logging

Available under:
Admin Tools -> Program Administrator Tools Section
Click: "Referral Trak Reports"

under "Referral Trak System Reports"
Click "Search Builder: Audit Log"

Referral Trak has been enhanced with logging capability that stores the
contents of the changes that users make to referrals and referred parties,
as well as users, products, and offices/branches/departments.

This allows us to better pinpoint when a change was made, who made it, etc.

5. User Interface / Help Components Cleanups

Referral Status Color Legend is now an expandable / collapse-able box. It
is set to collapsed by default but newer users can expand the legend for
help when learning the colors and the meanings.

This same technology is used in several places to make the help text less
obtrusive. For example the mouse-over driven tool tips on the manage
referral screen have been replaced with a help text box that will show help
when you click the blue arror button beside a menu choice.

6. The cost center of the sending (source) user can now be used as search
criteria on the incentive payment reports. The To and the From
Department/Branch/Office is displayed on the incentive payment report.

7. FAQs database edited and corrected. Several new interesting FAQs were
added dealing with Referral Routing setup, and the new Referred party / CIF
migration wizard.

8. Customer is expecting a call can be set as a required flag now for
referral creation. This option is available under:

Admin Tools -> ORG Acct Setup

At the bottom of the screen there is a section titled:

Referral Creation Options:

When Expecting Call Required: is set to Y this becomes a required field for
referral creation to continue. This forces the user creating the referral to
indicate whether the referred person has indicated whether it is ok for the
referral processor to call him/her regarding the referral.

Note: this flag changes the way ALL referrals work for your organization.

9. Recommended Incentive Payment on viewing referrals screen has been
enhanced to better explain why or why not an incentive payment is
Recommended by the system.

10. Migrate Referred Party tools have been upgraded to also be able to
migrate based on CIF number. This is helpful most for customers that have
integration.

11. Bugfixes:

11a. Incentive Payment report: Referrals that were not incentivized were
showing up on the incentive payment report.

11b. Program Admin Y/N toggle was defaulting to Y when it should default to
N.

Integration
-----------

1. Integration has been rewritten to use a new configuration file and method
which allows greater flexibility in the types of files that can be processed.

Essentially if you can send referral trak a file with 2 columns (CIF and
Date Sold) integration of products sold is possible now.

2. The logging and tracking facilities of integration have been upgraded so
that it is easier to track down which products were set as sold and why.
