Referral Trak Training Process Overview

What is the training process ?

1. Richweb uses a train the trainer model, meaning that we train your Program Administrators and your Managers. Then the Managers (or whoever your organization chooses to designate) trains the end users at your offices. The end users need to test the system after their training for a week or two to get comfortable and work out any changes that may need to be made with office/branch/department and/or product configurations.

Richweb uses Webex software to perform the training. A computer connected to the internet with MS Internet Explorer browser is all that is needed at your site. You will be given a web link before training starts that will connect your computer to the computer Richweb uses for training so you will see exactly what the trainer sees as you move through the training materials.

2. Training and testing will normally take place on the Referral Trak demo server unless your organization has decided to start out with Core Processing integration and/or a client self hosted server.

3. Once your organization has completed training and testing a Program Administrator will need to notify Richweb to let us know what date you want to go live. Most organizations prefer to launch live on the 1st of a month for reporting purposes. On the night before the launch date Richweb makes a full backup of your Referral Trak database and cleans out all of the referrals from the database so that your organization can start fresh. Your organizational products and office/branch/department configurations remain exactly as they were in test mode so the launch date requires no extra work on the part of the organization other than sending out a notice to the users.

4. If the host server changes at any time during this process (i.e. a move from a demo instance to a live instance) Referral Trak will automatically provide a correct link to users that attempt to login to the incorrect system.

How long does training take?

Typically the session is 90 minutes for PA training and 2 to 3 hours for Manager training.

How many people can attend each training session?

This depends on the size of the room you use for your training. Typically we suggest 10 or less at a time for training if possible so everyone feels comfortable asking questions.
